Executive Committee

A well-run USPSA or Steel Challenge club depends on strong leadership and clearly defined roles. The core of club governance is the Executive Committee, typically composed of the club’s elected officers: President, Vice President, Secretary, and Treasurer. Together, they are responsible for managing club operations, making strategic decisions, and implementing club policies in accordance with the bylaws.

The bylaws should outline each officer’s official responsibilities. However, beyond the formal definitions, there are important practical aspects to each role. Here’s a breakdown of their duties and key considerations.

President

The President serves as the leader of the club and presides over meetings and club activities. As an ex-officio member of all regular and special committees, the President plays a vital role in ensuring cohesive direction across all functions.

The President focuses on the “big picture,” guiding long-term planning and internal development. This includes:

• Setting and aligning club goals with realistic expectations
• Managing external relationships with the range, parent club (if applicable), USPSA, the community, and other local clubs
• Balancing competing demands on time, resources, and member participation
• Acting as the chief policy voice within the Executive Committee and any working groups

Strong leadership, vision, and a collaborative approach are essential in this role.

Vice President

The Vice President supports the President and is prepared to step in as acting President when needed. In many clubs, this role is seen as a natural succession into the presidency.

Beyond serving as the President’s backup, the Vice President often takes on additional responsibilities. These might include:

• Overseeing specific club initiatives or committees
• Managing match operations or logistics
• Leading community outreach or volunteer coordination

This role is ideal for someone looking to learn the ropes of club governance while contributing actively to the club’s success.

Secretary

The Secretary is the club’s information manager. This officer handles critical administrative and communication tasks, including:

• Notifying members of upcoming meetings and events
• Recording and distributing meeting minutes
• Maintaining affiliation records with USPSA and/or parent organizations
• Handling formal correspondence and maintaining club documentation

In smaller clubs, the Secretary’s role may be combined with the Treasurer’s. However, it’s often better to keep these functions separate to manage workload effectively and ensure attention to detail in both areas.

Treasurer

The Treasurer is responsible for the financial health of the club. This includes:

• Receiving and managing income from match fees, sponsorships, or donations
• Paying expenses such as range fees, USPSA activity fees, section dues, and annual club affiliation fees
• Maintaining the club’s financial records and balancing the books
• Creating and managing a budget that supports sustainable club operations
• Advising the Executive Committee on funding needs and financial planning

The Treasurer plays a key role in keeping the club solvent and prepared for both short-term expenses and long-term goals.

This governance framework ensures that each club officer has a clear mandate, and that leadership responsibilities are distributed effectively. Strong communication, trust, and accountability between the members of the Executive Committee are essential for running a healthy, successful club.
